Your complete guide to using Tinker Tone as a team member

Getting Set Up

Joining Your Team

  1. Click the invite link your admin sent you (email or signup link)
  2. Create your account with email and password
  3. Complete the onboarding flow to set your name and preferences
  4. You're in! Your dashboard will show your profiles and usage stats

Installing Add-ins

Tinker Tone works inside your Microsoft 365 apps. Install one or more:

Voice Profiles

Voice profiles define how Tinker Tone rewrites your content. Each profile is tuned with five communication traits:

Creating a Profile

  1. Go to Profiles in the sidebar
  2. Click New Profile
  3. Name it (e.g., "Client Emails," "Internal Memos," "Executive Brief")
  4. Add an optional description
  5. Adjust the five trait sliders (1–10 scale)
  6. Click Create Profile

Managing Profiles

  • Set Default — The profile auto-selected in your add-ins
  • Duplicate — Clone a profile as a starting point for a variant
  • Edit — Update name, description, or trait levels at any time
  • Delete — Remove profiles you no longer need

Team Profiles: Your admin may share team-wide profiles that appear with a "Team" badge. These ensure consistent messaging across the organization and cannot be edited by members.

Personal Voices

Personal voices go deeper than profiles. They let Tinker Tone learn your unique writing style through samples and AI analysis.

Three Ways to Create a Voice

1. Quick Create

Go to Voices → Create Voice. Enter a name, description, and voice notes (special instructions). Best for when you already know your style.

2. Voice Wizard

Go to Voices → Wizard. Paste 3+ writing samples and let AI analyze your patterns. Review the analysis, customize, and preview before saving.

3. Voice Interview

Go to Voices → Interview. Have a guided conversation with AI that asks about your communication preferences and builds a voice from your answers.

Voice Lifecycle

  1. Draft — Voice is being created and edited
  2. Pending Approval — Submitted for admin review
  3. Approved — Admin has approved; you can now activate it
  4. Active (Finalized) — Ready to use in rewrites

Voice Playground

Test any voice before activating it. Go to Voices → Playground, paste sample text, and see how the voice rewrites it. Provide thumbs up/down feedback to improve results.

Conversational Refinement

Want to tweak an existing voice? Open the Refine with AI tab in the Playground. Describe what you want to change in natural language—for example, "make it more formal for executive emails" or "use shorter sentences."

  1. Start a refinement session from the Playground's Refine with AI tab
  2. Chat with the AI about the changes you want
  3. See proposed trait and communication changes in the sidebar
  4. Preview how the new settings rewrite sample text
  5. Click Apply Changes to save (creates a new version) or Discard to cancel

Versioned: Every applied refinement creates a new voice version. You can always view previous versions from the voice detail page.

Sharing Voices

Each voice has a share mode:

  • Private — Only you can use it
  • Shared — Specific team members can use it
  • Team — Everyone in the organization can use it

Rewriting Content

The core workflow is the same across all add-ins:

  1. Write or select your content in the Office app
  2. Open the Tinker Tone sidebar
  3. Choose a voice profile
  4. Pick a rewrite mode and adjust severity
  5. Click Rewrite
  6. Review the result (toggle between original and rewritten)
  7. Click Accept to apply or Discard to keep original

Outlook-Specific Features

  • Reply Generation — Generate a reply to an email thread in your voice
  • Thread Summarization — Summarize long email threads

Severity & Modes

Severity Slider

Controls how much the rewrite changes your original text:

  • Low (1–3) — Light polish, minimal changes
  • Medium (4–6) — Balanced rewrite, preserves structure
  • High (7–10) — Significant transformation, full rephrase

Rewrite Modes

Modes set the overall intention of the rewrite:

  • Professional — Business-appropriate polish
  • Executive — Concise, authoritative
  • Friendly — Warm, approachable
  • Technical — Precise, detailed

Account Settings

Manage your personal settings from the Settings page in the sidebar:

  • Display Name & Avatar — Your name and profile picture
  • Default Profile — Which voice profile loads by default in add-ins
  • Default Mode — Your preferred rewrite mode
  • Default Severity — Your preferred severity level
  • Notifications — Email digest, usage alerts, product updates
  • Password — Change your password (or use SSO if configured)

Usage & Limits

Your dashboard shows personal usage statistics:

  • Total Rewrites — Lifetime rewrite count
  • This Month — Current month usage (with plan limit if applicable)
  • Rewrite Pack Balance — Bonus rewrites from purchased packs

Tip: If your organization uses BYOK (Bring Your Own Key), monthly limits don't apply since your team's own API keys are used for AI calls.
